RENTING POLICY

This Renting Policy applies when you browse rentable pieces on agoraxyz.com, build a rent inquiry, and submit a rental request. It works together with our Privacy Policy and Terms and Conditions (for purchases). By submitting a rent inquiry, you confirm that you have read and accept this policy.
1. Who we are
Agora (“we”, “us”) operates the archive fashion platform at agoraxyz.com.

2. What “renting” means on our site
2.1 Inquiry, not a confirmed booking
Submitting the form on Rent inquiry is a request only. It does not reserve items or create a binding contract. We will reply by email with availability, a final quote, pickup/shipping details, and any deposit or payment instructions.
2.2 Unique archive pieces
Most items are one-of-a-kind (single quantity). Availability is confirmed manually. An item may be withdrawn if it is sold, reserved for another client, on loan, or undergoing conservation.
2.3 Permanent collection
Some pieces appear in our Permanent collection and are not for sale, but may still be available for rent when marked as rentable. Rental does not transfer ownership.
3. Eligibility
You must be 18 or older and able to enter a binding contract in your country.
We may refuse or cancel a request if we cannot verify identity, payment, or suitability (e.g. prior damage, repeated no-shows, or misuse).
4. How to request a rental
- Open a rentable product and choose Request rental, or browse Renting.
- On Rent inquiry, add up to 10 pieces to your list (stored in your browser until you submit or clear it).
- Enter your rental start date and rental end date.
- Review the estimated total shown on the page.
- Complete the inquiry form and accept this Renting Policy.
Dates and duration
Rental days are counted inclusively: both the start date and end date count as full rental days (e.g. Mon–Mon = 8 days).
The on-screen total is: (sum of each piece’s daily rate) × number of rental days.
Displayed prices may reflect your selected currency; our base rates are set in EUR unless we state otherwise in your confirmation.
Indicative pricing
Daily rates shown on the site (including “/ day” on product pages and in your inquiry list) are indicative. Your final rental fee is stated in our written confirmation and may differ after we check availability, condition checks, delivery, insurance, or special handling.
5. Confirmation, payment, and deposit
5.1 Rental confirmation
A rental is confirmed only when we send you a written confirmation (email) that includes, at minimum:
- item(s) and description
- rental start and end dates
- rental fee and currency
- security deposit (if applicable)
- pickup, delivery, and return instructions
- payment due dates
5.2 Rental fee
Unless we agree otherwise in writing, the rental fee is due as stated in the confirmation (e.g. full payment before dispatch, or a schedule for long rentals).
5.3 Security deposit (“down payment”)
For archive and designer pieces, we may require a refundable security deposit before handover. The amount depends on the piece (often related to replacement or repair value) and will be stated in your confirmation.
The deposit may be held via card pre-authorisation, bank transfer, or another method we specify.
We may deduct from the deposit (or invoice you separately) for:
- damage beyond normal wear (Section 8)
- loss or theft (Section 9)
- late return or failure to return (Section 10)
- professional cleaning, repair, or restoration reasonably required
- missing accessories, tags, belts, or packaging supplied with the item
Any unused balance of the deposit is refunded after return and inspection, within a reasonable period (typically 14 days).
5.4 No deposit in the online form
The rent inquiry form does not collect deposits or payments. Deposits and payment are arranged only after we confirm the rental.
6. Your responsibilities during the rental
You agree to:
- use items only for their intended purpose (wear, styling, editorial, or use agreed in writing)
- not alter, dye, cut, repair without our written consent, or remove permanent labels where present
- keep items clean, dry, and stored safely (no smoking, pets, or harsh chemicals unless pre-approved)
- not sub-rent, lend, or transfer possession to third parties without our consent
- comply with any care instructions we provide for delicate or vintage materials
You are responsible for the items from handover until return as we define in the confirmation (including transit if you arrange it).
7. Delivery, pickup, and return
Methods (pickup at our location, courier, international shipping) are agreed per rental.
Risk of loss or damage passes to you when the carrier collects the parcel from us (or from you on return), unless we agree otherwise in writing.
Items must be returned on or before the agreed end date, in the same condition as at handover, allowing only normal wear for the rental period (Section 8).
Late return may incur extra daily rental charges and/or deposit deductions.
8. Condition, wear, and damage
8.1 Normal wear
Archive and vintage garments may show age-appropriate character. Normal wear during the agreed rental period (e.g. light creasing, minimal friction at hems) is expected and is not charged.
8.2 Damage
You are responsible for damage beyond normal wear, including but not limited to:
- stains (makeup, food, wine, ink, deodorant, etc.)
- tears, burns, snags, or broken closures
- odours requiring professional treatment
- missing or broken accessories, belts, or components
- failure to follow care instructions
We will assess condition on return, optionally with a professional cleaner or conservator. Repair or replacement costs (or fair diminution in value for irreplaceable pieces) may be charged against your deposit or invoiced to you.
8.3 Inspection
We inspect items after return. If issues are found, we will contact you with reasonable evidence (photos, quotes) within 7 days of return.
9. Loss and theft
If an item is lost, stolen, or not returned, you are liable for:
- our replacement value or agreed maximum as stated in your confirmation, and
- any outstanding rental fees and reasonable costs (search, shipping, administration).
We strongly recommend your own insurance covering theft, loss, and accidental damage for the full rental period and transit. We do not provide insurance unless explicitly stated in writing.
10. Cancellation and changes
By you — before confirmation
You may withdraw an inquiry at any time before we send confirmation (no fee).
By you — after confirmation
Cancellation terms (notice period, forfeited fees, deposit retention) will be stated in your rental confirmation. As a guide:
- More than 7 days before start: deposit refunded; rental fee may be partially refundable at our discretion.
- Within 7 days of start: deposit and/or rental fee may be non-refundable or partially refundable.
- After handover: rental fee is generally non-refundable; early return does not automatically reduce the agreed fee unless we agree in writing.
By us
We may cancel or change a confirmed rental if the item becomes unavailable (sale, damage, loan), due to force majeure, or if we reasonably believe terms would be breached. In that case we will offer a refund of fees paid for the affected item or an alternative if available.
Date changes
Changes to dates or items require our written approval and may affect price and availability.
11. Sale while you inquire or rent
A piece may be listed for rent and sale at the same time. If it is sold or reserved, we may decline or end your inquiry or rental for that piece and will refund any prepaid amounts for that item only.
12. Intellectual property and imagery
Product images and descriptions remain our or our licensors’ property. You may not use our imagery for commercial purposes without permission. Editorial or shoot use of rented items may require separate written approval.
13. Limitation of liability
To the fullest extent permitted by law:
- we are not liable for indirect or consequential loss (lost profit, lost opportunity, etc.) arising from a rental request or rental;
- our total liability for a confirmed rental is limited to the rental fees you paid for that rental, except where liability cannot be limited (e.g. death or personal injury caused by our negligence, or mandatory consumer rights).
Nothing in this policy excludes rights you have under mandatory consumer law in your country of residence.

15. Complaints and disputes

16. Changes
We may update this policy. The version on agoraxyz.com/renting-policy/ at the time you submit an inquiry applies to that submission. Material changes will be reflected in the “Last updated” date.
